Data Retention Schedule
How long each kind of record is kept, and what happens at the end of that period.

Requests for consideration
Kept for twenty four months from the decision, then deleted. Declined requests are kept only as a record of the decision for the same period.
Records of people in The Collective
Kept while the place is held and for thirty six months afterwards, then deleted or reduced to a minimal historical record of participation.
Reservations and attendance
Kept for twenty four months after the gathering for capacity planning and safety, then aggregated so no individual is identifiable.
Guest records
Kept for twelve months after the gathering, then deleted.
Consent records
Kept for six years after the consent ends, because a record of what was permitted and when is itself the protection.
Audit trail
Kept for six years. Entries cannot be edited or deleted.
Correspondence and subscriptions
Kept while you are subscribed and for twenty four months after you unsubscribe, so we do not write to you again by mistake.
Photography, video and audio
Kept while the relevant permission stands. On withdrawal, removed from our own channels within thirty days and archived material is deleted at the next scheduled review.
Financial records
Kept for seven years where tax and accounting law requires it.
At the end of a period
Records are deleted or irreversibly aggregated. Backups age out on their own cycle, within twelve months.
